How to Quote and Order SafeFrame through DoorBuilder

At Total Door Systems, we work hard to make sure doing business with us is easy. That’s why we wanted to make sure that SafeFrame™ was easy for distributors to quote and order through our online quoting and ordering system, the Total Door Systems DoorBuilder™.

Distributors can simply log on to DoorBuilder through the partners login on our website. The opening size entered in DoorBuilder is based off of two measurements: the elevator frame width plus 2 -inches, and the elevator frame height plus 1 inch per our SafeFrame order form. After you’ve entered your opening size, just select “SafeFrame.” The DoorBuilder will automatically include all the other selections to make the system code compliant.

A few clicks – and they are done. It’s that easy.

DoorBuilder Tool Tip #4: Quote Forecasting & 
Probability of Sale

In order to continue making the DoorBuilder tool the fastest, easiest way to configure Total Door Systems and deliver a quote, we will share tips from time to time to make it easier, more effective and more efficient.

In previous newsletters we’ve shared how to add or subtract the columns you want to review on your quotes page, how to use the search function to find a keyword or distributor and how to find a quote. In this month’s newsletter, we share a tip on how to use quote forecasting and probability of sale within DoorBuilder.

First you need to add the Probability of Sale and Forecast Date columns to your quotes page. To do this, log into DoorBuilder and click on the Quotes tab.

You will see a box with three dots along the top, next to the Search button. Click on that box to open the available columns.

Once that is open, search the list for the Probability of Sale and Forecast Date options. Click on the box next to them to select and then hit Apply.

You will now see these columns on the far right. These can be updated by clicking on either one (they both open up the same window). When changing the Anticipated Close Date, you need to click at the very top of the box. This is not standard procedure, but it is a workaround due to a bug in the system at the moment.

Once you have made your updates, simply click on Submit. That is all there is to it.

We are still offering installation training in person. These are now done with a smaller class size so we can be socially distant and remain safe.

Coming soon: Installation Training in a Remote World

With fewer people wishing to travel to Michigan for installation classes, we have decided to create a more robust Total Door Training Institute on our website. We want to create the entire installation training course as an online option.

To kick it off, we recently shot an installation video for our new SafeFrame™ product in our corporate showroom. John Pierre walks you through step-by-step instructions to install the entire system. It is the first of many to come.

We will introduce the complete video to you soon, as well as additional materials on SafeFrame.

As part of our ongoing efforts to create continuous improvement in our company, our process and our product, we have recently worked with the Michigan Manufacturing Technology Center (MMTC) to run a couple of Kaizen events.

The first Kaizen event took place in August focusing on our aluminum fabrication department. The second one took place in October, focusing on shipping and receiving. A third one is scheduled to go over our quality process. Eventually, we will do one for every part of the plant and even some departments in our home office.

Kaizen is a Japanese word meaning “good change.” Toyota referred to it as “continuous change” and used it in the 80s to improve quality and efficiency. Today, it’s part of lean manufacturing. It helps a company find and eliminate issues, shorten lead times and eliminate waste – both in materials and process. It is not a tool for eliminating people or demanding more without providing tools and strategies to do so.

A Kaizen event involves all of Total Door’s area experts, the plant manager, members of the executive team and the people who actually work in the area we are focusing on. It begins with a brainstorm outlining the things we want to address and areas that are of concern. Then we go into that area of the plant and start mapping out the processes involved.

For instance, in the aluminum fabricating area, we used the Kaizen process to look for where there was waste, including waste of movement. What does overproduction add into the process? How much waiting time is there and what does it add to the process? How does the layout affect it? We did a spaghetti diagram to see if there was too much time walking around in the process and adjusted the work flow.

Once we had the data and a plan of action, we went to work. We cleaned the whole area and got rid of old and outdated materials that no longer added to the process or needed to be there.

When we were done, we had 15 items to follow up on. It took us 30 days to achieve them. But it was well worth it. The department before this struggled to get a good score in our weekly 5S (Sort, Set In Order, Shine, Standardize and Sustain). Since our Kaizen event, it has consistently gotten 100% in their 5S. They are doing a great job following the new processes and keeping everything in it’s place.

By the time we have completed an event for every department, we will not only see improvement that everyone has been involved in, but we will have documented, sustainable, repeatable processes and procedures that will help when something new comes our way.

This is important since our business is all about creating customized doors. Things change every manufacturing cycle. Having processes in place that everyone is familiar with will keep us creating new and better products, no matter what your clients need in the future.

We continue to reach out to Building Officials with offers to educate them and make them more aware of codes involving Elevator Hoistway Protection against smoke migration. This has turned up a number of projects where we are able to insert Total Door Systems as a solution for code compliance.

Using the new Construction Connect system that Jack Robbins and Candace Kitchen have put in place, we have been able to reach out to code officials in our territory.  It lets us offer them a solution for their buildings to meet the fire codes as required by their local laws.

Also, following up with the individual attendees from Jack Robbins’s national AEC Daily live webinars has opened the doors to putting on Lunch and Learn presentations for their entire firm.

We have been scheduling AIA CES presentations as online webinars focusing on the Smoke Containment presentation for a number of individual firms and recently presented to the Denver Chapter of CSI as part of their education program for members and guests.

We have also found the Construction Connect leads to be effective in connecting with the architects and have scheduled another AIA CES presentation as a result of one of the project leads.
